At the AI Policy Lab, we are committed to transparency in how we handle personal data. This policy explains how we collect and protect your information when you interact with our website.

1. General Principles

We process your personal data in accordance with the General Data Protection Regulation (GDPR) and the Swedish Data Protection Act. As a public authority, Umeå University processes data based on the legal basis of Public Interest (Article 6.1 e of the GDPR), as conducting and communicating research is a core mission of the university.

2. What Data We Collect and Why

We only collect the minimum information necessary to fulfill our research and communication goals:

Web Analytics: We use in-build WordPress Analytic tool to understand how visitors use our site. This data is anonymized (IP masking) and does not identify you personally.

Contact Forms & Sign-ups: If you contact us or sign up for a newsletter, we collect your name, email address, and affiliation to respond to your inquiry.

Event Registration: When registering for lab seminars or workshops, we collect data to manage the event.

3. Data Storage and Archiving

Because Umeå University is a Swedish public authority, we are bound by the Archives Act (Arkivlagen).

  • Retention: Data is kept as long as necessary for the purpose it was collected.
  • Archiving: Research data and certain communications may be archived for 10 years or permanently to meet legal and scientific verification requirements.
  • Public Access: Under the Principle of Public Access, documents held by the university (including emails) are generally public unless they contain classified or sensitive information.

4. Your Rights

Under the GDPR, you have the right to:

  • Request an extract of what data we hold about you.
  • Request correction of inaccurate data.
  • Request erasure (the “right to be forgotten”). Note: This right is limited by the university’s legal obligation to archive certain records.
  • Object to or restrict the processing of your data.
